This role is central to the smooth and efficient operation of the center. We are seeking a candidate with proven experience working in an ABA or Autism clinic who can confidently manage complex scheduling, insurance processes, and administrative workflows while ensuring a positive and supportive environment for families and staff.


Compensation & Benefits


Hourly Rate: $22.00 – $27.00 per hour, dependent on experience.

Schedule: Full-time, Monday–Friday.

Position Summary


The Office Manager plays a vital role in supporting the clinical and operational needs of this Maryvale ABA Center. This role is purely administrative (no clinical certification required) but experience managing an ABA/Autism clinic is required.


Key Responsibilities


Administrative & Operational Management


  • Serve as the first point of contact for families, staff, and external partners.

  • Oversee daily center operations, including supplies, vendor coordination, and facility needs.

  • Maintain organized electronic and physical client records in compliance with HIPAA.

  • Manage center calendars, staff meetings, and required trainings.


Behavioral Health Technician (BHT) Scheduling


  • Develop and maintain complex weekly schedules for Behavioral Health Technicians.

  • Coordinate client–technician pairings to ensure full coverage and minimize scheduling gaps.

  • Track BHT hours, time-off requests, and support HR/payroll processes.


Insurance & Client Services


  • Perform timely and accurate insurance verification for all new and ongoing clients.

  • Manage all ABA authorization workflows, including tracking expirations and securing renewals.

  • Serve as a knowledgeable resource for families on benefits, deductibles, copays, and coverage.

  • Process billing, copay collection, and superbills when needed.


BCBA & Clinical Team Support


  • Provide administrative support for BCBAs, including preparing assessment materials, managing clinical documentation, and organizing reports.

  • Assist with staff onboarding and ensure all documentation and compliance steps are completed.

  • Support communication between families, clinicians, and external agencies.
