Job Summary:
Serves as the central point of contact regarding the daily schedule for all ABC of NC campus services, including vendor services for clients, staff, and service partners; schedules meetings for executive and clinical staff; and approves and tracks staff time off requests.
Key Responsibilities:
Supports the Operations Coordinator with developing, maintaining, and updating the ABA therapy, school, and all partners’ (occupation/physical therapies, speech, and academic tutoring) schedules for staff and clients in advance.
Effectively manages and communicates last-minute schedule changes Monday- Friday, starting as early as 6:30 am, and maintains the schedule for staff and clients throughout the day.
Supports the Operations Coordinator with approving, denying, and tracking staff time- off requests.
Works with the Operations Coordinator to add new employees to the Electronic Medical Records (EMR) software; assists with client teams; and supports developing the template, weekly schedule, and the new cohort schedule.
Works with the clinic reception staff, program supervisors, executive staff, and others to ensure prompt scheduling for parent/caregiver meetings and any other meetings as needed.
Manages calendars for all shared spaces and works with the facilities team to ensure spaces are prepared for special events, meetings, etc.
Schedules special events and/or services (i.e., picture day and more), including but not limited to intensive services, community/parent/caregiver classes, etc.
Schedules meetings, including but not limited to registered behavior technicians (RBTs) and administrative staff and other tasks.
Performs other duties as assigned.
